Partner Program terms
Effective date: October 29, 2026
These terms explain how the HotSeat Partner Program works: who can join, how a shop is credited to you, what you earn and when. You agree to them when you apply.
1. Who these terms are between
These terms are between you and HOTSEAT BOOKING INC. (“HotSeat”, “we”). They cover the Partner Program only. HotSeat's Terms of Service are a separate agreement, which a shop accepts when it uses HotSeat.
2. Joining the program
- Anyone can apply on the Partner Program page. We ask for your name and email address; your phone number and a note are optional.
- Applying does not make you a partner. A person at HotSeat reviews each application and decides whether to approve it.
- When you apply, we record that you accepted these terms, which version of them, and when.
- If a shop is credited to your code, you accept the version of these terms in force on the day it is credited (its effective date is shown at the top of this page). That is in addition to accepting them when you apply.
- If you are approved, we email your referral code to the address you applied with. We do not email applicants we do not approve.
- When a shop's owner enters your code in Settings, we show them your first name and the initial of your last name, so they can check it is the one they were given. We show them nothing else about you.
- Our Privacy Policy explains how we handle the details you give us when you apply.
3. Your referral code
An approved partner gets one referral code, six letters and numbers, unique to them. You share it with the shop owners you refer. The email that delivers your code also contains a link that carries it.
4. How a shop is credited to you
A shop is credited to you in one of three ways:
- its owner types your code into the Referral code box when they sign up;
- its owner opens the link that carries your code and then signs up, from the same browser;
- its owner enters your code in Settings > Account, within 14 days of creating the shop.
If an owner both follows a link and types a code, the code they typed is the one used. The 14 days are counted from when the shop was created. After that, the owner cannot enter a code, and only HotSeat can add a credit.
A shop is credited to one partner, once. The shop's owner cannot change it. If a credit needs correcting, HotSeat can change or remove it, and every change is recorded.
5. No referring yourself
You cannot earn a reward for a shop you own or run. HotSeat refuses to credit a shop to a partner whose email address is the same as the shop owner's sign-in email or any contact email the shop has given HotSeat, or whose phone number is the same as any phone number the shop has given HotSeat (its open locations included). An email address that differs only by a “+” tag, such as name+partner@example.com, counts as the same address. This applies to credits HotSeat adds itself, too.
6. Your referral reward
For each shop credited to you, you earn 3× that shop's monthly subscription price, once. It is not repeated each month. The price is the monthly price recorded for the shop at HotSeat, and amounts are in Canadian dollars.
You earn the reward once the shop activates, which means it has started paying for HotSeat. A shop that is still on its free trial has not activated.
7. How you are paid
HotSeat records payment by hand: when a reward is paid, a person at HotSeat marks your partner record as paid. How and when the payment is made is arranged with you directly. It is not set out on this page.
A partner record is marked as paid as a whole, not shop by shop. Once yours is, your referral code stops working, so shops that sign up with it later are not credited to you.
8. Ending a partnership
HotSeat can revoke an active partner. A revoked partner's referral code stops working, so shops that sign up with it later are not credited to them. Shops already credited to them stay credited. A revoked partner cannot be restored.
9. Taxes
You are responsible for any taxes that apply to what you earn from the program.
10. Changes to these terms
HotSeat may change these terms. The effective date at the top of this page tells you which version you are reading, and the version you accept when you apply is recorded with your application.
